Tabula Rosa Systems - Email Error Codes. . . Made Easier!

How many of us have been sending email for mail years without paying attention to error codes when we receive them? This is easy to do since the normal explanations are most often vague at best.
The post below is from my latest book, "You're Hired . . ."  (the Amazon link is below). By knowing these, email senders can experience fewer bounce backs which will result in positive improvements in many areas.
==========================================
SMTP Error Messages: The Meaning of the Numbers

All robust email users encounter returned messages. When reading the reasons given for the returns, a large percentage of the senders do not understand the explanations. The following list provides brief definitions for the most common email errors. They are important to refer to from a Netiquette point of view, as understanding messages and unavoidable errors can help you to avoid issues such as missing deadlines or similar occurrences.
An email server can be set to reply to any request a client (such as your email program) makes by sending return code. This code consists of three numbers. The first number usually signifies whether the server accepted the command and if it could handle it. There are five possible values defined as follows:
·         0: A syntax error has occurred.
·         1 (informational reply to a request): The server has accepted the command but does not yet take action. A confirmation message is required. Currently, this is not used.
·         2 (a referral to the connection status): The server has completed the task successfully.
·         3 (not generally used): The server has understood the request but requires further information to complete it.
·         4 (not generally used): The server has encountered a temporary failure.
·         5 (refers to the status of the mail system and the mail server): The server has encountered an error.

The second number in this list gives more information about why the email was delivered. The last number is the best recognized and shows more detail of the mail transfer status.

The list below names the following ESMTP (enhanced mail server transfer protocol) server-response codes, as defined in RFC 821 extensions. What they indicate follows:
·         21: A system status message.
·         214: A help message for a human reader follows.
·         220: SMTP service ready.
·         221: Service closing.
·         250: Requested action taken and completed.
·         251: The recipient is not local to the server, but the server will accept and forward the message.
·         252: The recipient cannot be verified, but the server accepts the message and attempts delivery.
·         354: A message input that starts and ends with <CRLF> indicates that the server is ready to accept the message itself (after you have told it who it is from and where you want it to go).
·         421: The service is not available, and the connection will be closed.
·         450: The requested command failed because the user’s mailbox was unavailable—for example, because it was locked. Try again later.
·         451: The command has been aborted due to a server error.
·         452: The command has been aborted because the server has insufficient system storage.
The following error messages are for the email client:
·         500: The server could not recognize the command due to a syntax error.
·         501: A syntax error has been encountered in command arguments.
·         502: Bad gateway.
·         503: The server has encountered a bad sequence of commands.
·         504: A command parameter is not implemented.
·         550: The user’s mailbox is unavailable. Either it no longer exists or the message was blocked for security or policy rules.
·         551: The recipient is not local to the server.
·         552: The action has been aborted due to exceeded storage allocation.
·         553: The command has been aborted because the mailbox name is invalid.
·         554: The transaction failed. There could be many reasons for this, such as an outage or software or network failure.

Netiquette For Kids - Some Advanced Topics

Netiquette: Rules of Behavior on the Internet
By M.D. Roblyer|A. H. Doering — Pearson Allyn Bacon Prentice Hall
Updated on Jul 24, 2013
The etiquette guidelines that govern behavior when communicating on the Internet have become known as netiquette. Netiquette covers not only rules of behavior during discussions but also guidelines that reflect the unique electronic nature of the medium. Netiquette usually is enforced by fellow users who are quick to point out infractions of netiquette rules. The summary of email rules in the information below is based on published sources such as Shea's (2004) online book, Netiquette.
Identify yourself:
Begin messages with a salutation and end them with your name.
Use a signature (a footer with your identifying information) at the end of a message
Include a subject line. Give a descriptive phrase in the subject line of the message header that tells the topic of the message (not just "Hi, there!").
Avoid sarcasm. People who don't know you may misinterpret its meaning.
Respect others' privacy. Do not quote or forward personal email without the original author's permission.
Acknowledge and return messages promptly.
Copy with caution. Don't copy everyone you know on each message.
No spam (a.k.a. junk mail). Don't contribute to worthless information on the Internet by sending or responding to mass postings of chain letters, rumors, etc.
Be concise. Keep messages concise—about one screen, as a rule of thumb.
Use appropriate language:
Avoid coarse, rough, or rude language.
Observe good grammar and spelling.
Use appropriate emoticons (emotion icons) to help convey meaning. Use "smiley's" or punctuation such as :-) to convey emotions. See website list of emoticons at http://netlingo.com/smiley.cfm and http://www.robelle.com/smugbook/smiley.html.
Use appropriate intensifiers to help convey meaning.
Avoid "flaming" (online "screaming") or sentences typed in all caps.
Use asterisks surrounding words to indicate italics used for emphasis (*at last*).
Use words in brackets, such as (grin), to show a state of mind.
Use common acronyms (e.g., LOL for "laugh out loud").

Tabula Rosa Systems Blog Of 10/23/2015 - Using Azure To Back Up Servers

Mary Branscombe, CIO | Oct 21, 2015 5:18 AM PT Networkworld.com

Windows Azure Pack
If you can’t easily rebuild or replace a server, you want to make sure it doesn’t fail. One option is adding redundant hardware to the system, but if you can virtualize the workload you have a lot more options. Go beyond running it on Hyper-V or VMware and look at whether you can run it on an IaaS public cloud or set up a real private cloud system. Unless your pet server is tied to specific hardware, you can take out a lot of the work by putting it on a truly automated, distributed system. You can build your own with the Windows Azure Pack (shortly to become the Microsoft Azure Stack and be much closer to Azure) or run on “hyperconverged infrastructure,” where you buy a preconfigured private cloud appliance like Microsoft’s Cloud Platform System (and equivalent systems from HP and Dell) or Simplivity’s OmniStack (which you can buy directly, or from Cisco or Lenovo). Whichever configuration you pick, it’ll let you stop worrying about the hardware and concentrate on keeping the workload running.

Tabula Rosa Systems Technical Term Of The Day - Process Intelligence

process intelligence
Process intelligence is data that has been systematically collected to analyze the individual steps within a business process or operational workflow.
Process intelligence provides an organization with accurate information about what work items exist, who does the work, how long it takes work to be completed, what the average wait time is and which steps are inefficient. The goal of process intelligence is to help an organization identify bottlenecks and improve operational efficiency.
Software can help an organization improve process management by integrating data from disparate sources and analyzing processes on a historic or real-time basis. Process intelligence software is especially useful for improving nonlinear processes that have a lot of dependencies.

Tabula Rosa Systems - A New Email Authoring Product - The Real Thing Or Hype?

I have authored two books regarding email Netiquette. In addition to these books, I have now posted over 1,000 blog articles and made public appearances with regard to email content., including tone.

The article below speaks to a new product which promises to write a person's email for them. I find this to be highly questionable It is hard enough to properly use translation software in terms of understand what is being conveyed. It is far harder to provide proper tone and context. The inaccuracies, mistakes and  which can occur with trust in a business email to be created and conveyed via Artificial Intelligence is risky at best.

One would be far better served by reading my books below and optimizing their cyber communication skill!

This Sinister Software Tells You How To Craft The Perfect Email Based On People's Personality
Kate Knibbs, Gawker Media Sep 18, 2015, 09.10 PM
What if you knew exactly what to say over email to get someone to like you? When to insert a smiley face, when to get to the point, when to flirt? A service called Crystal offers a cheat sheet for email finesse.
Crystal promises to help people write emails so perfectly aligned with recipients' interests that the people who get them feel like they've found a kindred spirit. It's a brilliant business idea. And it's an unsettling example of how little control we have over our personal data.
When you use Crystal, you can "look up someone's personality" and the service will coach you to pander to that person. It will also show you how it predicts you will interact with each other.
It does this by trawling the internet for data on whomever you want to impress. The company's algorithm takes everything publicly available the recipient has written, as well as things written about them - tweets, blog posts, LinkedIn recommendations, Yelp reviews they left five years ago - and it crunches it into an easy-to-read personality primer. The algorithm is custom-made, but draws from personality tests like Meyer's Briggs, DISC, and Five Factors.
